Become an Exhibitor or Sponsor

To reserve booth space, Exhibitors must send to Parker University:

  • A completed online registration (sponsorship or vendor only)
  • The deposit
  • General liability certificate of Insurance

No booth space will be reserved until a completed registration and deposit have been received and approved by Parker University.

Because of an exclusivity agreement with a Sponsor, Parker will not accept other exhibitors showing or selling orthotics at the seminars.

Not Included with Booth Space

  • Storage, delivery, shipment, or return shipment of exhibit materials.
  • All services and items for the booth, including but not limited to, required carpet/flooring,
    electric, Internet, furnishings, lead retrieval, etc.
  • Complimentary wireless access is not available in the exhibit hall—all Internet needs must be ordered.
  • Full-conference registrations for access to educational sessions and keynote speakers.

Subleasing

Sponsors and Exhibitors may not assign its rights or duties to any other person or entity and may not sublease any portion of its exhibit space. Sharing of exhibit space is strictly prohibited. Penalties for unauthorized subleasing/sharing of exhibit space include: (1) Removal of unauthorized party and their products from the current seminar. All expenses incurred for removal are charged to the contracted exhibitor and payable immediately. (2) Suspension or permanent expulsion of contracted exhibitor and unauthorized party involved from all or selected Parker events, and automatic forfeiture of status and benefits as Sponsor, if applicable.

Booth Selection Process

  • Sponsors have first booth space selection based on sponsorship level.
  • Exhibitors are available on a first-come, first serve-basis. Deposit are non-refundable after booth selection.
  • In the case of a sell out and request continue to come in, we will set up a wait list. Should there be a cancellation, exhibitors on the wait list will be notified of the availability in order they entered the wait list.
  • Finally, if booths are still available, they will be made available on a first-come, first-served basis

Booth Assignments

The acceptance of exhibitors, the placement of booth space and the assignment of particular booth space shall be at the sole discretion of Parker University. No oral promises or representations about booth availability or location are enforceable.

Sponsors receive priority booth selection based on sponsorship levels. Vendor only booth assignments will be made in the order that applications are received with required documents and payment as outlined in Exhibitor Contract.

Please not no loud or objectionable amplified music/broadcasting from you booth. And no passing out handouts from areas other than your booth. This includes leaving them in common areas.

Moving booth spaces without granted permission from Parker University is in violation of Parker University’s expo policy. Violations of this policy will result in the following penalties: (1) $500 fine charged to the credit card on file at Parker University. (2)Exhibit space will not be offered for future Parker Seminars.

Terms of Payment

Full payment for exhibit space is due on or before established due date listed in your contract or prior to booth selection. All cancellations and requests for refunds must be in writing. Cancellations received after the established date noted in your contract will result in Parker University retaining the full deposit payment per space rented. *Reference your contract for exact dates.

A $25 return check fee is charged for any returned check. Booth space registration will be cancelled, unless Exhibitor pays that fee and resubmits payment for the amount of the returned check within 10 days.

Housing and Promotional Pirate Warning

Third-party housing and marketing agencies unaffiliated with Parker Seminars may contact you as an exhibitor. Please beware of and report any of these unauthorized solicitations to parkerseminars@wydhamjade.com. (?)

Everyone working in a Sponsor/Exhibitor booth is required to obtain accommodations in the host hotel, unless they live in the same town as the seminar or if no accommodations are available in the host hotel. Using the host hotel will provide Sponsors/Exhibitors more opportunities to meet prospective customers and will also support the seminar in meeting the room block and meeting space obligation. Failure to obtain accommodations in the host hotel may result in a mandatory fine set by the Seminar Department.

Booth Sizes, Floor Plan, Furnishings, Displays and Arrangements

Standard size booths are approximately 10’ deep by 10’ wide and will be furnished with a skirted table, two chairs, wastebasket, and identification sign. The sign is printed according to company name as it appears on your contract. Additional equipment, furnishings and services may be obtained for an additional charge through the official show contractor. The show colors for the aisle carpet, back drape, and side rails vary from show to show. The show colors will be listed in the Exhibitor Kit.

All dimensions and locations including those shown on official floor plans are approximate and are not warranted to be accurate. Parker University reserves the right to make modifications to the floor plan at any time and will notify exhibitors accordingly. Sponsor/Exhibitor displays shall not interfere with ingress or egress of customers; interfere with other exhibits; or obstruct the view of other exhibits. To avoid obstructing the view of other booths, exhibitor may not have any structure (walls, signs, posters, displays, banners, countertops or tables) higher than 42 inches within 4 feet of any aisle. No structure can be higher than 16 feet from the floor. Exhibitor agrees to rearrange or limit its display as required, at the sole discretion of Parker University.

Exhibitor must abide by all contracts, rules, regulations or procedures of the exhibit facility, show contractor and Parker University. If a conflict exists between these rules and the rules of the exhibit facility or show contractor, the strictest rule will apply.

Installation and Dismantling of Exhibits

Sponsor/Exhibitor agrees to have all exhibits set up, manned and ready for business one hour prior to the posted opening of the Exhibit Hall. Parker University will not be responsible for loss or damage to Sponsor’s/Exhibitor’s materials. Sponsor/Exhibitor is responsible for storage of all empty shipping crates and containers, and Exhibitor is responsible to have materials packed, identified and cleared for shipment by the posted time listed in the Pre-Show Information Packet.

Exhibition times will be provided in the Exhibitor Pre-Seminar Information Packet. However, Parker University reserves the right to alter exhibit times. Sponsors/Exhibitors will be notified of changes as soon as practical. Sponsors/Exhibitors may not setup before official setup time or breakdown before the scheduled ending of the Seminar.

If Sponsor/Exhibitor fails to comply with these requirements Sponsor/Exhibitor grants to Parker University the right, with no liability, to 1) dismantle, dispose of, store or clear from the premises any goods, property or merchandise of Exhibitor and 2) have that work done at the sole expense of the Sponsor/Exhibitor. Sponsor/Exhibitor shall not start tear down or abandon their exhibit before Expo closes.

Violations and Fines

Parker University expo policy prohibits dismantling exhibits prior to the designated time of 5pm on the last day of the Seminar. Early dismantle will result in the following penalties:

  • $500 fine charged to the credit card on file with Parker University.
  • Exhibit space will not be offered for future Parker University.
  • Violators will not be invited to exhibit at Parker University for approximately 12 months from the present Seminar year.

Any booth space not occupied one hour prior to the posted exhibit opening time will be forfeited by the Sponsor/Exhibitor. Parker University will reassign that space unless prior arrangements for delayed occupancy have been approved in writing by Parker Seminars.

Hold Harmless- Insurance

All Sponsors/Exhibitors, their contractors and suppliers working in the exhibit hall are required to carry general liability insurance in an amount of at least equal to $1,000,000 in the aggregate and $1,000,000 per claim, or, if greater, such amount as may be required by the convention facility, and shall supply Parker University with a certificate evidencing such coverage and naming Parker University as an additional insured with right to at least ten days advance written notice of termination. Sponsor/Exhibitor must operate and maintain their exhibit so that no injury will result to any person or property. All exhibitors are strongly urged to obtain full-coverage temporary insurance for their merchandise and displays while in transit and while at the exposition.

Hold Harmless

Sponsor/Exhibitor assumes the entire responsibility and liability for losses, damages, and claims arising out of exhibitor’s activities. Sponsor/Exhibitor will indemnify, defend and hold harmless Parker University, the Seminar Facility, and Official Show Contractor, their owners and management companies, as well as their respective agents, servants, and employees from any losses, damages and claims arising out of exhibitor’s activities. Parker University, the Seminar Facility, and the Official Show Contractor will not be responsible or liable for any loss, damage nor claims arising out of the exhibitor’s activities, except for any claim, loss or damages arising directly from their negligence.

Licensing Permits and Taxes

Sponsor/Exhibitor is solely responsible for obtaining any licenses or permits required to sell products or perform services at the Expo. State law may require a license from the state where the seminar is held to perform chiropractic adjustments at that seminar. Sponsor/Exhibitor agrees to indemnify and hold harmless Parker University, the Official Show Contractor, and the Seminar Facility from any damages or charges imposed for violation by the Exhibitor of any law or ordinance or otherwise arising from Exhibitor’s conduct.

Sponsor/Exhibitor agrees to pay all sales tax, or other local, state or federal taxes or duties that may be owed as the result of Sponsor’s/Exhibitor’s presence at the Expo or the sales made at the Expo. Sponsor/Exhibitor agrees to indemnify and hold harmless Parker University, the Official Show Contractor, and the Seminar Facility from any damages or charges imposed for failure to pay any taxes, fees or duties.

Force Majeure

Parker University shall not be liable for any damages caused in whole or in part by labor disputes, fire, unusual delays in deliveries, abnormal or adverse weather conditions, unavoidable casualties, or by any other causes beyond Parker Seminars’ control.

Limited Liability

In no event will Parker University be liable for any lost profits or revenue, special, incidental, consequential, indirect, or punitive damages, even if Parker University has been advised of the possibility of those damages. At the discretion of Parker University management, total liability arising from or related to its agreement with exhibitor is limited to the refund of the amount paid by Sponsor/Exhibitor to Parker University. These policies define the sole and exclusive remedies of the exhibitor.

Sponsor/Exhibitor shall not represent or imply that Parker University has endorsed Exhibitor’s goods or services.

Security

Parker University may provide security guards; however, neither Parker University, the Official Show Contractor nor the Seminar Facility is responsible for the safety of the personnel, guests, or personal property of the Sponsor/Exhibitor from personal injury, theft, damage by fire, accident, vandalism or other foreseeable or unforeseeable risks.

Food, Beverage, and Water

No food or beverage, including marketing giveaways, is permitted to be brought into the venue without the express consent of the official food and beverage provider. Sponsors/Exhibitors who wish to provide sample food or beverage must complete an authorization request provided by Parker University. Requests must be received at least 60 days before the event and are subject to approval.

Any Sponsor/Exhibitor requiring water for any equipment at their booth is required to use the contracted Exposition Services. No Sponsor/Exhibitor may transport water to their booth without the express permission of Parker University and the Hotel.

Consent to Terms and Conditions

Parker University reserves the right to amend or supplement these regulations to promote the best interests of the entire Exposition and Seminar subject solely at its discretion. Those rules and regulations shall be binding immediately on Sponsor/Exhibitor. Sponsor/Exhibitor will be notified in writing of any amendments to these regulations. Sponsor/Exhibitor agrees to execute any further terms and conditions, indemnity or hold harmless agreements required by the Seminar Facility or the Official Show Contractor.

This Agreement is governed by and interpreted under the laws of the State of Texas, without regard to its choice-of-law provisions. Any dispute shall be submitted to and resolved by binding arbitration in Dallas, Texas, in accordance with the rules of the American Arbitration Association.

Except as expressly stated herein, the premises, and any products or services provided by Parker Seminars, are provided “AS IS,” without warranty of any kind, express or implied, including, but not limited to, warranties of merchantability or fitness for a particular purpose.

Sponsor/Exhibitor agrees to allow Parker University to use its name and pictures in promotional materials. Exhibitor grants Parker University and its agents permission to photograph or record Sponsor/Exhibitor and its Booth Personnel while they are attending the seminar and in public areas. Those photographs and recordings shall become the property of Parker University and may be used for any purpose.

Sponsor/Exhibitor freely and voluntarily accepts these policies. No promise, inducement, or agreement has been made to Sponsor/Exhibitor other than the specific promises and agreements made in these policies. The Application and these Policies contain all agreements and all representations by and between Parker University and the Sponsor/Exhibitor. These policies and the documents exchanged contemporaneously with these policies supersede all prior agreements, if any, between Parker University and the Sponsor/Exhibitor and may only be amended by a writing signed by Parker University.

Parker University reserves the right to refuse rental of booth space to any Sponsor/Exhibitor for any reason.

If any portion of these policies is declared by a court of competent jurisdiction to be invalid or unenforceable, that portion shall be deemed severed from these policies and the remaining parts shall remain in full force and effect as if the invalid or unenforceable provision had not been a part of these policies.

Breach of Policies or Unprofessional Conduct

Parker University reserves the right to restrict or evict any Sponsor/Exhibitor which, in Parker University opinion, breaches these policies or detracts from the general character of the exposition. Prohibited conduct includes solicitation or attempts to make sales in the exhibit hall by anyone representing or connected with a company whose presence has not been approved by Parker University, use of disruptive advertising or promotional noisemakers or sound devices, lighting that is disruptive to neighboring exhibitors and the general nature of the exhibition; sexual harassment; or any other unprofessional conduct. Solicitation in any area outside of your booth space is a violation that is subject to a fine and or eviction from your booth(s) space. If solicitation outside of your booth space is confirmed by Parker University personnel or security, you will receive a written warning. If the violation occurs again during the Seminar, your company will be evicted from your booth space and removed from the exhibit area without refund. Your company will not be invited to exhibit at Parker University or approximately 12 months from the present Seminar year. Failure of Parker University to protest a breach by the Exhibitor is not a waiver of rights or remedies for that breach or any subsequent breach.
